Privacy Utilization Agreement
The exhibition organizer, Kyungyon Exhibition Co., Ltd. and KY Exposition Corp. (hereinafter referred to as the 'exhibition secretariat') values your personal information of data and complies with the Act on Promotion of Information and Communications Network Utilization and Information Protection, etc. The exhibition secretariat informs you of the purpose and method of using the personal information provided by members through the privacy policy, and what measures are being taken to protect personal information. 1. Purpose of processing personal information Members' personal information collected by the exhibition secretariat is processed for the following purposes. The personal information processed will not be used for purposes other than those stated below. If the purpose of processing is changed, separate consent will be obtained in accordance with the Personal Information Protection Act. 1) Website membership registration and management Personal information is processed for the purposes of confirming the user’s intention to register, identifying and authenticating users in connection with the provision of membership services, maintaining and managing membership status, preventing unauthorized or fraudulent use of services, and delivering notices and announcements. 2) User management and handling of complaints Personal information is processed for the purpose of verifying the identity of users, confirming the details of inquires or complaints, contacting users for fact-finding purposes, and notifying users of the results of complaint handling. 3) Provision of goods or services Personal information is processed for the purpose of delivering goods, providing services, granting admission to the exhibition, issuing and sending invoices, providing content, verifying user identity, processing payments and settlements, and conducting debt collection. 4) Use of personal information for marketing and advertising Personal information is processed for the purpose of providing new services and customized services, providing information on exhibition events and promotional activities and offering opportunities to participate, delivering services and displaying advertisements based on demographic characteristics, evaluating the effectiveness of services, analyzing access frequency, and compiling statistics on members’ use of services. In addition, personal information may be used to contact data subjects for the promotion or marketing of goods or services (limited to exhibitions organized by the exhibition secretariat). 5) Photography and use for exhibition promotion The exhibition secretariat may conduct photography and video recording within the exhibition venue during the exhibition period for the purposes of exhibition operation and promotion. Such photographs and video recordings may include images of visitors, including likeness (such as faces or parts of the body). The photographs and video recordings may be used for exhibition-related promotional materials, including but not limited to the official website, social media channels, online and offline promotional materials, and press releases operated or distributed by the exhibition secretariat. 6) Management of seminar and conference participation and provision of personal information to third parties If a user applies to participate in seminars or conferences held concurrently during the exhibition period, the registered personal information may be provided to the exhibition organizers or co-organizers solely for the purpose of managing seminar or conference participation. In addition, in order to provide users with convenient and diverse services, the exhibition secretariat may use personal information collected from users to conduct advertising or marketing activities related to services provided by the exhibition secretariat via mail, e-mail, SMS (text messages), fax, or other communication methods. Users may refuse to receive such marketing communications at any time by notifying the exhibition secretariat through designated contact methods. The exhibition secretariat processes personal information only within the scope specified in Article 1(Purpose of processing personal information) and provides personal information to third parties only where consent has been obtained from the data subject, where required by applicable laws, or where otherwise permitted under Article 17 and 18 of the Personal information protection act. *Provision of personal information to third parties The exhibition secretariat provides personal information to thid parties as follows; 1) Association of Korean exhibition industry (AKEI) ▪ Recipient: Association of Korean exhibition industry (AKEI) ▪ Purpose of Use: Verification for exhibition certification ▪ Items Provided: Name, affiliation (company name), job title, department, country, address, telephone number, fax number, e-mail address, mobile phone number, website ▪ Retention and Use Period: Until completion of exhibition certification 2) Exhibition Co-organizers ▪ Recipient: Exhibition co-organizers ▪ Purpose of Use: Customer management (handling inquiries and complaints, surveys, provision of benefits or prizes, etc.), distribution of industry-related information and exhibition-related information ▪ Items Provided: Name, affiliation (company name), job title, department, country, address, telephone number, e-mail address, mobile phone number, website ▪ Retention and Use Period: Until the purpose of use is achieved or until the data subject expresses refusal to receive such information 3) Exhibition Participants (Exhibitors) Personal information may be provided to exhibitors participating in the exhibition under the following circumstances: When a visitor’s badge barcode is scanned using an exhibitor’s barcode reader When a visitor registers through an online banner posted on an exhibitor’s website or promotional materials When a visitor registers using an exhibition invitation provided by an exhibitor Purpose of Use: Marketing activities ▪ Items Provided: Mandatory: Name, affiliation (company name), department, country, address, telephone number, e-mail address, mobile phone number, survey responses (interested exhibitions, purpose of visit, etc.) Optional: Job title, fax number, website address ▪ Retention and Use Period: Until the purpose of use is achieved or until the data subject requests deletion of the information ※Consent to third-party provision via electronic business card system the exhibition secretariat operates an electronic business card system to facilitate effective information exchange between visitors and exhibitors If a visitor’s badge barcode is scanned at an exhibitor’s booth during the exhibition, such action shall be deemed equivalent to the exchange of business cards, and the visitor;s personal information will be automatically transferred to the relevant exhibitor. ▪ Recipient: Exhibitors using the electronic business card (customer management) system ▪ Purpose of Use: Business communication and marketing activities ▪ Items Provided: Visitor information such as name, affiliation, e-mail address, and survey responses ▪ Retention Period: until deletion is requested by the data subject Method of Consent: Scanning of visitor badge barcode (deemed consent) 2. Outsourcing of personal information processing The exhibition secretariat may outsource the processing of personal information to third-party service providers for the purpose of ensuring smooth operation of services, improving service quality, an enhancing user convenience. The outsourced tasks and service provider are as follows: 1) Service Provider: SYSFORU INC. 2) Scope of Outsourced Services: Website management, website and server management, operation of the registration system, and provision of electronic business card system services 3) Retention and Use Period: Until termination of the outsourcing contract When entering into outsourcing agreements, the exhibition secretariat specifies matters related to the prohibition of processing personal information for purposes other than the performance of the outsourced services, technical and administrative safeguards, restrictions on subcontracting, supervision and management of service providers, and liability for damages in accordance with Article 26 of the Personal Information Protection Act, and supervises whether the service provider processes personal information securely. 3. Status of personal information collected The exhibition secretariat collects and retains personal information only to the minimum extent necessary for the provision of services. However, if additional information is required to provide specific services, such information may be requested separately. During the online-pre-registration process, the exhibition secretariat collects the following personal information items from users. Required items must be provided to complete registration, while other items are collected on a voluntary basis. 1) Membership registration and management [Visitor] ▪ Required items : Name, Title, Company name(Affiliation), Division, Country, Address, Company E-mail, Telephone, Mobile phone number, Type(buyer or visitor), Survey questions (Gender, Age, Registration Classification, Job description, Purchasing power, Company Scale, Company Sales figures, Visit Frequency, Date of visiting, Interesting product, Purpose of visit, Route to Visit) ▪ Optional items : Position, Website, Address, Personal E-mail, Fax [Buyer] ▪ Required items : Name, Title, Company name(Affiliation), Division, Country, Address, Company E-mail, Telephone, Mobile phone number, Type(buyer or visitor), Business card, Survey questions (Gender, Age, Registration Classification, Job description, Purchasing power, Company Scale, Company Sales figures, Visit Frequency, Date of visiting, Interesting product, Purpose of visit, Route to Visit) ▪ Optional items : Position, Website, Personal E-mail, Fax 2) Automatically collected information During the use of the website and online services, the following information may be automatically generated and collected: ▪ Service usage records, access logs, IP address, cookies, device identifiers (such as MAC address), visit history, and records of improper or unauthorized use Uses may indicate their consent to the collection and use of personal information by checking the “I agree” checkbox in the privacy policy or terms and conditions provided by the exhibition secretariat. by checking the “I agree” checkbox, users are deemed to have consented to the collection and use of their personal information. the exhibition secretariat does not collect sensitive personal information that may infringe upon fundamental human rights, such as race, place of origin, political opinions, criminal records, or health information, unless explicit consent is obtained from the user or such collection is required by applicable laws and regulations. The exhibition secretariat collects personal information through the following methods: ▪ Website, online newsletter, telephone, inquiries (wired, e-mail), online participation application, online pre-registration, on-site registration card creation, online/offline event application, business partnering (meeting) application, seminar and conference participation application 4. Processing and retention period of personal information The exhibition secretariat processes and retains personal information within the retention and use period prescribed by applicable laws and regulations or within the retention and use period agreed to by the data subject at the time of collection. Personal information is retained and used for the purposes stated above from the date on which consent to collection and use is obtained. Once the purpose of collection and use has been fulfilled, the personal information shall be destroyed without delay. ▪ Basis for retention: consent of the data subject - Use of personal information for marketing purposes: 5 years ▪ Retention periods under applicable laws - Records related to user complaints or dispute resolution: 3 years - Records related to payment and supply of goods or services: 5 years - Records related to contracts, subscriptions, or withdrawal of subscription: 5 years Notwithstanding the foregoing, personal information may be retained where retention is required pursuant to applicable laws and regulations, including but not limited to the Commercial Act and the Act on the Consumer Protection in Electronic Commerce, or where continued retention is necessary in preparation for potential legal disputes. Users’ personal information shall be destroyed without delay once the purpose of collection and use has been achieved. In addition, upon withdrawal of consent the exhibition secretariat shall destroy users’ personal information without delay, except for personal information that is required to be retained for a certain period pursuant to applicable laws or the retention grounds stated above. Where the processing of personal information has been entrusted to a third party, the exhibition secretariat shall instruct the entrusted party to destroy the personal information in the same manner. Personal information printed on paper shall be destroyed by shredding or incineration, and personal information stored in electronic file format shall be permanently destroyed using technical methods that prevent restoration or reproduction. 5. Rights of data subject and legal representatives Users, as data subjects, may exercise the following rights with respect to their personal information: 1) Data subjects may exercise their rights to access, correct, delete, or request the suspension of processing of their personal information at any time by contacting the exhibition secretariat. 2) Requests to exercise such rights may be submitted to the exhibition secretariat via the website, in writing, by e-mail, or by fax, in accordance with Article 41(1) of the Enforcement Decree of the Personal Information Protection Act, and the exhibition secretariat shall take necessary measures without delay. 3) The rights set forth in paragraph (1) may be exercised through a legal representative or an authorized agent of the data subject. In such cases, a power of attorney in the form prescribed under the Enforcement Rules of the Personal Information Protection Act shall be submitted. 4) The rights of data subjects to access or request the suspension of processing of personal information may be restricted in accordance with Articles 35(5) and 37(2) of the Personal Information Protection Act. 5) Requests for correction or deletion of personal information may be denied where the personal information is required to be retained under other applicable laws and regulations. 6) The exhibition secretariat shall verify whether the person making a request to exercise the rights of the data subject is the data subject or a duly authorized representative. 6. Destruction of personal information In principle, once the purpose of processing personal information has been fullfilled, the exhibition secretariat shall destroy the relevant personal information without delay. [Destruction procedure] Personal information provided by users shall be transferred to a separate database after the purpose of collection and use has been achieved (or, in the case of paper records, to separate physical files). Such information shall be retained for a certain period or destroyed immediately in accordance with internal policies and applicable laws and regulations. Personal information retained in a separate database shall not be used for any purpose other than those permitted under applicable laws. [Destruction Deadline] Where the retention period has expired, personal information shall be destroyed within five (5) days from the end date of the retention period. Where personal information becomes unnecessary due to achievement of the processing purpose, discontinuation of the relevant service, or termination of business, personal information shall be destroyed within five (5) days from the date on which such necessity is deemed to have ended. Personal information printed on paper shall be destroyed by shredding or incineration. 7. Installation, Operation, and Rejection of Automatic Personal Information Collection Devices (Cookies) The exhibition secretariat uses cookies to store and retrieve users’ usage information from time to time in order to provide personalized services. Cookies are small pieces of information sent by a web server (HTTP) operating a website to a user’s web browser and may be stored on the user’s computer hard drive. 1) Purpose of using cookies: Cookies are used to analyze users’ visit history and usage patterns of each service and website, popular search terms, and security access status, in order to provide users with optimized and customized information and services. 2) Installation, operation, and refusal of cookies: Users may refuse the storage of cookies by adjusting the settings of their web browser (e.g., Tools > Internet Options > Privacy). The methods for managing cookie settings may vary depending on the browser used. 3) Impact of refusing cookies: If users refuse the storage of cookies, they may experience difficulties in using certain personalized or customized services. 8. Personal Information Protection Officer and Contact Information The exhibition secretariat is responsible for the processing of personal information and has designated a Personal Information Protection Officer to handle inquiries, complaints, and requests for damage relief related to personal information processing. The exhibition secretariat shall respond to and handle such inquiries without delay. 9. Changes to the Privacy Policy This Privacy Policy shall take effect from the effective date. In the event of any addition, deletion, or amendment due to changes in applicable laws or internal policies, such changes will be notified at least seven (7) days prior to their implementation.
